Refund Policy

At United Techlab, we believe that trust is built through clarity and accountability. This Refund Policy explains how refunds are handled for our service-based engagements and is designed to align with the guarantees we make publicly and contractually.
1. Scope of This Policy
United Techlab provides professional, service-based engagements, including legacy system modernization, architecture design, and related engineering services.
Refunds are not automatic and are governed by:
- This Refund Policy, and
- The specific contract, Statement of Work (SOW), or engagement agreement executed with the client
Where there is any conflict, the terms of the signed agreement will take precedence.
2. Fixed-Scope Pilot Engagements
Most engagements with United Techlab begin with a paid, fixed-scope pilot.
For pilot engagements, we offer the following assurance:
- If the client determines that the services delivered during the pilot do not meet the agreed expectations,
- And raises this concern during or immediately after the pilot review phase,
United Techlab may, at its discretion, provide a refund of up to 50% of the pilot fees paid, subject to the conditions below.
The intent of this policy is to:
- Reduce initial engagement risk
- Allow clients to evaluate our working model
- Demonstrate accountability early in the relationship
3. Conditions for Refund Eligibility
A refund request may be considered only if:
- The services were delivered materially outside the scope or objectives defined in the applicable SOW
- The concern is raised in writing within 15 calendar days of the relevant milestone or pilot completion
- United Techlab is provided reasonable opportunity to review, clarify, or address the concern
Refunds will not apply where dissatisfaction arises due to:
- Changes in business priorities
- Requests for additional scope, features, or redesigns
- Delays or blockers caused by incomplete access, dependencies, or client-side constraints
- Subjective preference when agreed deliverables have been met
4. Milestone-Based Engagements (Non-Pilot)
For larger, multi-phase modernization programs:
- Payments are structured around clearly defined milestones
- Each milestone represents completed and reviewable work
- Refunds, if any, are limited to the specific milestone in question
United Techlab does not offer refunds for:
- Work already delivered, reviewed, and accepted
- Milestones completed in accordance with the SOW
5. What Refunds Do Not Cover
Refunds do not apply to:
- Time already spent on discovery, analysis, or architectural work
- Third-party costs incurred on behalf of the client
- Infrastructure, cloud, or licensing expenses
- Services delivered outside the original scope without written amendment
6. Dispute Resolution Process
If a client believes services were not delivered in accordance with the agreed terms:
- The concern should be raised with the assigned point of contact or account owner
- Alternatively, clients may email contact@unitedtechlab.com with a detailed description of the issue
- United Techlab will review the concern internally and respond within a reasonable timeframe
- Where appropriate, remediation, clarification, or refund options will be discussed collaboratively
Our goal is always to resolve concerns professionally and constructively.
7. Our Commitment
While no modernization effort is risk-free, we are committed to:
- Transparency in scope and delivery
- Clear communication throughout the engagement
- Owning outcomes we commit to
- Acting in good faith when expectations are not met
This Refund Policy exists to reinforce that commitment, not to replace mutual trust and collaboration.
